Within our new flagship office, we are looking to introduce a new Catering Co-Ordinator role with a proven track record for delivering successful events to enhance our client entertaining provisions.

This position will be key to the success of our client and internal events working alongside our receptionist, client facing teams or marketing team. High quality client service is of the utmost importance to us.

As Catering Co-Ordinator, you will be responsible for organising all catering aspects of a wide range of events from large networking events for up to 150 clients, through to breakfast lectures or smaller intimate lunches and breakfasts for 5 people. The ideal candidate will require a strong sense of self-initiative, meticulous attention to detail, and can successfully manage the logistics of multiple events.

Working Location & Hours:

This role is office-based (London EC4), 7 hours a day flexibly between the hours of 8am – 8pm, depending on the events in the diary that day. You will be aware of the timings of the events with at least a week's notice in order to schedule your upcoming week. On days where there are no events, the standard hours will be 9am – 5pm. The majority of our breakfast and evening events take place Tuesday – Thursday.

The key responsibilities of the role:

  • Central point of contact and management for all London catering requests.
  • Responsible for reviewing and managing all client bookings in advance, working with host contact on the catering required.
  • Setting up and documenting a tracking/review system for all events.
  • Ordering all food and drink from external providers.
  • Ensure dietary requirements are catered for.
  • Create relationship with local restaurant in order to provide in-house breakfasts and lunches.
  • Liaise with external provider on evening event catering.
  • Setting up catering for events i.e. drinks trolleys, food set up etc.
  • Meeting and greeting clients in addition to our receptionist for all events.
  • Consolidate bookings on same days/week for beverage orders to control volume coming on site.
  • Managing the recharging of costs to the relevant cost centre or project code.
  • Capacity to collect local food if required.
  • Work alongside London receptionist, providing cover as and when required.

Skills and Experience sought:

  • 1-2 years' event management or catering-related project management experience required, with proven ability and initiative to work effectively to deadlines in a fast-paced environment.
  • Exceptional organisational skills with meticulous attention to detail.
  • Ability to multitask and handle a number of projects simultaneously.
  • Strong Excel proficiency and ability to manage high volumes of data and reporting.
  • Excellent written and verbal communication skills to suppliers, colleagues, and clients.
  • Highly professional in presentation, communication, and punctuality
